Transport Professionals Association Events Communication Processes
The Transport Professionals Association (formerly AITPM) have streamlined the promotion of Events and follow the below process to assist in the efficient promotion of Branch and National Events.
Below is a top-level outline of the current communication and marketing process for Transport Professionals Association (TPA) Events:
- Event is formally submitted on a TPA Event Submission Form with all event and marketing details included
- Event is approved, created and hosted on our Upcoming Events Pages. All pages are provided for approval to Event Stakeholders prior to publishing
- TPA National Office create Registration Open and Event launch Email for approval along with branded social tile including all relevant details to Event Stakeholder for approval.
- Event is launched via email and followed with formal LinkedIn Post promoted initially by the National Office.
- Event critical path, including key event milestones and promotional timelines is created in Asana by the National Office.
- Event is reviewed at key intervals and further promotions discussed with Event Stakeholders and the National Office. Event Stakeholders are encouraged to re promote initial posts or a post of their own after official Event Launch. All Posts on linked in should tag us each time they are posted, either via a hashtag or a @.
- All TPA, Branch and Partner Events (not including large Conference Events) follow a standard communications and marketing process which includes:
- Event Launch via Linked In and Event Email Broadcast to those in event locality eg. Subscribed to Branch comms, in the state of the event or are subscribed to all event marketing.
- Follow up or reminder to register emails created if required to promote more registrations - usually between 2-3 week prior to the event.
- Event is included in TPA National Newsletter under the Upcoming Events Section each fortnight until the event. Events can also be cross promoted with other events in the same state to increase exposure. Most national events are cross promoted on state based event communications as secondary messaging.
- Reminder to attend created and sent minimum of 2 days before the event.
- Thank you for attending created and approved by Event Stakeholders, sent a maximum of 1 week post event. This includes any key links to on demand content, links to event photos, links to event feedback survey, and any presentations approved to share.
Transport Professionals Association Newsletter
The TPA newsletter is sent fortnightly (generally on a Monday).
Please submit content including links to relevant industry news and writeups (and photos) from your events to our Communications team.
Longer stories about our events, other activities or member written articles will be placed in the News section of the website, with a short teaser in the newsletter.
Transport Professionals Association LinkedIn
TPA uses LinkedIn as our key social media platform to promote key events, promote industry information and communicate with Members. The TPA EPN also host their own groups within the main LinkedIn Account. When promoting an event on Linked In, the following should be considered:
- Allocated dedicated volunteer to post on social media to keep constancy. All those allocated to this role, will be provided access to the TPA Company page to post on behalf of TPA on LinkedIn.
- All posts should tag #TransportProfessionalsAssociation or @Transportprofessionalsassociation
- If not using assets provided directly by TPA National Office, ensure top level event details including Event name, date, time, location and how to register is always included in the main body of the post.
- Tag any key speakers or organisations listed in the copy including any partners or event sponsors when tagging. You don't need to follow and organisation or a person on LinkedIn to tag them in a post.
- Encourage other members of your Branch, Organisation or Committee to repost to their networks to organically grow event awareness.
- Branches can also post any photos from the event in a Thank you Post on LinkedIn (if appropriate). Any sponsors, speakers and partners should also be tagged accordingly in this post (if required).
Transport Professionals Association Flickr - Event Photos
TPA uses Flickr to host and upload photos from Events, Conferences and social functions. Event Stakeholders or dedicated Branch Social Media volunteers are encouraged to upload photos on Flickr within a maximum of 5 days post event, so these can also be included in any Thank you for Attending or Post Event Communications sent by the TPA National Office.
It is important to remember to exclude any photos of event attendees that have asked to not be photographed.
