Role Descriptions - Branch Committees
The following provides a general description of the activities associated with each position of the TPA Branch Committee.
Branch President
Branch leadership activities:
- Prepare Branch inputs for the CEO to Board Meetings and the Annual Review.
- Attend Board meetings as the Branch Board Member.* subject to the outcomes of the upcoming General Meeting
- Attend National coordination meetings with CEO and other Branch Presidents and Vice Presidents.
- Attend and chair monthly Branch Committee meetings.
- Present President’s report at monthly Branch Committee meetings and include updates from Board Meetings when available. * Subject to the outcomes of the upcoming General Meeting
- Prepare and present at the Branch Annual Meeting. Report to include reporting on financials, membership, events, and strategic outcomes.
- Coordinate the preparation of the yearly event schedule.
- Oversee delivery of event schedule and provide support to Branch Committee members as required, including application of relevant event policies (i.e., event diversity guidelines, and strategic objectives).
- Attend most events to provide support to the Branch Committee members organising the event, and to provide visible TPA leadership for members and event attendees.
- MC at major branch events (e.g., Ministerial functions).
- Speech/es to members (and all attendees) at major branch functions.
- Consult with Emerging Professionals Network committee to provide collaboration opportunities.
- Support Vice President with liaison with State Partners and Sponsors (obtain feedback on events / services provided to sponsors as well as discuss sponsorship renewals with state sponsors).
- Consult with key industry contacts regarding TPA (e.g., State Government transport authorities).
- Assess Emerging Professionals Award using assessment criteria. Include Branch Committee in assessment process if considered appropriate.
- Submit and authorise payment of invoices as required in conjunction with Treasurer.
- Provide inputs to corporate communications.
- Interact with LinkedIn posts to help promote TPA events online.
National conference activities, when conference is in home state:
- Provide conference leadership when National Conference is within the state to assist the CEO and Conference Convenor(s) to deliver the conference.
Vice President
Branch leadership activities:
- Attend National coordination meetings with CEO and other Branch Presidents and Vice Presidents.
- Attend and participate in the majority of monthly meetings.
- Present Vice President’s report at monthly Branch Committee meetings and include updates from National coordination meetings when available.
- In the event of a vacancy occurring in the office of the President, the Vice President shall fill the unexpired term.
- In the absence of the President, the Vice President shall preside at meetings. Keep national Events Calendar up to date with Branch events.
- Consult with key industry contacts regarding TPA (e.g., State Government transport authorities) in coordination with President.
- Provide support to President and Branch Committee as required to deliver yearly calendar of events.
Partner and Sponsor activities:
- Maintain relationships with Partners, Sponsors and State Corporate Subscribers in collaboration with the Branch President (obtain feedback on events).
- Assist our administration team on Partner activities and renewals.
- Provide inputs to corporate communications.
- Interact with LinkedIn posts to help promote TPA events online.
- Be the conduit of information from Partners and sponsors to the Branch Committee in terms of event entitlements within agreements.
Secretary
Branch activities:
- Attend and participate in the majority of monthly Branch Committee meetings.
- Prepare agenda, venue, and dates for monthly Branch Committee meetings.
- Prepare minutes of Branch Committee meetings and circulate within one week of meeting.
- Prepare agenda and papers for Branch Annual Meeting confirmation of Branch Committee election results.
- Prepare Secretary’s Report for the Branch Annual Meeting.
- Keeps updated list of contact details for Branch Committee members.
- Interact with LinkedIn posts to help promote TPA events online.
Treasurer
Branch activities:
- Attend and participate in the majority of monthly Branch Committee meetings.
- Present Treasurers report at monthly Branch Committee meetings.
- Prepare annual draft budget in coordination with President, CEO and TPA financial officer.
- Provide annual Treasurers report for Branch Annual Meeting.
- Consult with TPA financial officer to track expenses and invoices as required.
- Submit and authorise payment of invoices as required.
- Interact with LinkedIn posts to help promote TPA events online.
Membership Officer
Branch activities:
- Attend and participate in most monthly Branch Committee meetings.
- Present Membership report at monthly Branch Committee meetings.
- Provide annual Membership report for Branch Annual Meeting.
- Consult with the TPA administration team on new membership applications and is responsible for recommending approval or rejection of applications.
- Consult with Branch Committee as required for new Fellow applications and provides feedback to the administration team.
- Interact with LinkedIn posts to help promote TPA events online.
Social Media and Communications Coordinator
Branch activities:
- Attend and participate in most monthly Branch Committee meetings.
- Present Social Media report at monthly Branch Committee meetings.
- Coordinate the documentation of events (i.e., photos and summary of proceedings) for inclusion in social media posts or email communications.
- Post event notifications on LinkedIn.
- Encourage and ask for participation in social media and communications from Branch Committee members.
- Coordinate with event organisers to determine posting schedule.
- Consult with the TPA administration team on posting schedule.
- Interact with LinkedIn posts to help promote TPA events online.
- Take photos at events and upload to share drive for TPA marketing and promotion use.
- Coordinate relevant Branch inputs to the fortnightly TPA Newsletter.
General Branch Committee Member
Branch activities:
- Attend and participate in most monthly Branch Committee meetings.
- If not committing to a specific committee position, volunteers are expected to lead or support the delivery of at least two events a year, in accordance with Event policy and Branch procedures. This will include arranging speakers, venues, catering, event set-up, organising nametags, and end of event activities.
- Work with the Social Media Coordinator to post event reminders on LinkedIn.
- Work with Vice President to organise and coordinate sponsorship for events.
- Consult with the administration team to manage event online form and registrations.
- Assist with the running (including booking venues, catering, setting up the room, greeting members, organising speakers, notification of event, chairing) of technical forums and other events as required.
- Take photos at events if required and upload to share drive for TPA marketing and promotion use.
- Assist in documenting events (i.e., photos and summary of proceedings) for inclusion in social media posts or email communications.
- Encourage new members to attend and join Transport Professionals Association.
- Contribute to achieving strategic objectives by undertaking activities communicated by President and Vice President.
- Engage in relevant policy and advocacy activities, including attending workshops and consultation sessions.
- Interact with LinkedIn posts to help promote TPA events online.
